Keeping your website alive - Common Website Maintenance Issues and their solutions

n often overlooked aspect of the website is its maintenance. Lots of clients still believe that once you setup a website then it will run on its own without any intervention needed. That would be ideal but in reality the website needs as much tending to as would a garden.

Some of the common issues faced by websites are:

Server Crashes
Most hosting companies promise 99.9% uptime but many times that promise is not upheld. Although a server is a sophisticated computer it is still a computer and is prone to all the problems that affect a normal computer such as hard drive failures, mother failure, memory overloads etc. At times like these the entire server goes down and the hosting company rushes to fix it.

Web design evolves just like technology and also goes through its own fads and style periods. Designing also changes with the evolution of technology particularly CSS and JavaScript evolutions.

1. Pictures tell the story
Large images stretching across the page overlaid with tactically relevant copy is in.

Opening some sites can take your breath away due to the lovely images that blaze across the screen. No longer those thin sliver of images overlaid with a large menu.

All the elements on the page have some breathing room and are specifically separated from each other by wide margins. This is to help with mobile friendliness as well as to reduce clutter. This is the new open design paradigm.

2. More than one support person answering an account queries
Do you remember that movie where the character loses his memory every 10 seconds and literally starts over again and again. Dealing with some hosting companies is like that. Every time you get someone on the line you need to explain your issue all over again. Over and over, till you slowly go insane.

Let's have a support person who knows our case and history and can help throughout the installation or upgradation process. And give us direct access to that person as long as we are hosted with you or that person is on your payroll.

3. Unnecessary and complicated interfaces for client interaction
There is a kid's game called Find Elmo, where you are supposed to spot Elmo the character on a busy and intentionally cluttered page. It's fun if you are a kid, not so much if you are on the hosting providers website.

Some hosting providers sites are a labyrinth to trap and devour poor unsuspecting web designers. Instead of a straight forward interface it has layers on layers of options and popups and dropdowns that make your head spin.

Busy web developers have very limited time and would like a simple uncluttered interface to access and use the common hosting features. Web hosting companies need to take a serious look at their customer account setup.

4. Customer support persons who are powerless to intervene in issues
After spending 20 minutes trying to get through to a support personnel it is really awful to be told that they do not have access or rights, and we will have to do the setting ourselves. Then they point you to a cryptic and useless instructions page which we have to then figure out and do ourselves.

Wouldn't it be easier if they can quickly gain access and make the settings instead of making the customer spend an hour trying to figure out the right combination of actions to take from a poorly designed and written knowledgebase page?

Empower your executives to quickly solve the customers issues instead of lobbing the ball back into the customers court.

5. sking for unnecessary feedback and ratings of lousy services
Yes, we get it. You believe in feedback and want us to rate every interaction but we really don't care. If your service was good we want to move on, if your service was lousy we really don't want to spare even more time telling you its lousy. If you don't have internal systems to determine how an interaction went, then you have a bigger problem then feedback.

Also please stop calling your service an 'Award Winning Service' all the time. It really grates on your nerves when we are experiencing pathetic service under the 'award winning' label. And btw when was the last time you won that award...a hundred years ago?

As a web designer, we depend on the web hosting companies for our livelihood and vice versa. Web designers undergo tremendous amount of stress delivering projects on time and they really don't need crap from people who are supposed to be their partners and helpers.

Over the last few years India has become a premier outsourcing destination for western developed nations and that is common knowledge. What is lesser know is that India is also quickly becoming a website design destination as well. The same cost advantage, dedicated people and good English skills which contribute to other outsourcing fields is also working in India's favor in website designing.

Website design is such a field that it cannot simply be done by the numbers; it's a function of marketing and needs creativity and understanding of business.

Clients will hesitate while giving the more important and substantial projects. But this is being overcome by some very good and proactive networking by Indian web designers as they are slowly building up the client's confidence in them by delivering high quality work on time and at good cost. Perceptions will change but it will take time.

Overseas clients must however be wary
There are a lot of shady characters masquerading as web designers. Many of them are hosting companies pretending to be web design but who have no talented people in their staff or themselves outsource to others. Such bogus web designers take foreign clients for a ride, holding up their work for months on end and eventually leaving the client frustrated and angry. The scene is littered with thousands of such incomplete projects. However thanks to dynamics of evolution many such players are leaving or have left the market. Switching website maintenance vendors - challenges and solutions

With our website maintenance business growing well we are constantly faced with on-boarding new clients either who don't have anyone maintaining their site or are unhappy with the current maintenance service providers.

As you can imagine switching website maintenance vendors can be painful all around. In most cases the agency losing the business, cooperates as they don't want their reputation spoiled by unnecessary confrontation. And of course if there is no agency in the picture better still.

Here are some of the common issues faced when switching website maintenance vendors and ideas on how to tackle them:

The existing website is a messWhen faced with such situations we have to evaluate if the current design is salvageable and if it is, then we go for a complete recode of the underlying source code keeping elements of the design the same. If the design is too outdated then we strongly recommend a complete redesign exercise.

After the underlying code of the site has been rewritten, the content is salvaged and plugged into our Content Management System and the site is handed to our customer support team.

Usually after such an exercise, the performance of the site improves dramatically as legacy issues are addressed, search engine friendliness is improved and overall loading speed of the site also improves.

The Intellectual Property of the website is scattered or misplaced
One of the first questions we ask when we come in for a maintenance contract is, 'Who has the domain?' It amazes me how businesses are careless with their digital intellectual property such as domains, hosting accounts, control panel details etc.

Usually multiple managers have handled the site and with each change the information gets more scattered and lost. They have no idea who is handling the domains, who is hosting the site, what are the annual charges being applied etc. They do not have access to Google Analytics (if any) or access to the CMS (if any).

It takes days of painstaking work and searching to put together the missing information and take charge of the website.

Migration of CMS systems
One of the biggest challenges we face when migrating a client's website to our maintenance services is that of the CMS.

How to evaluate design options presented by your web design agency

Presenting designs and getting them approved is a constant part of any web designer's life. Most times the client 'gets' what we are trying to do and approves the design with minor modifications. But there are times when clients have difficulty understanding the design or don't connect with it immediately.

We realized that such clients, although brilliant at their profession, don't possess the tools or the expertise to evaluate a design. They make some elementary mistakes which causes a good design to get rejected or drastically changed.

Here are a few things we would love for our clients to keep in mind when evaluating the design options presented by the agency.

It's important to avoid snap judgments.
It's also important to avoid snap judgments early on. Design can be extremely subjective and people's opinion on the design can change with prolonged exposure to the design. Instead of deciding immediately, spend some time with the submitted designs. Let your mind adjust to them and notice the details.

Ask your web design agency to explain their thinking
I am surprised how few clients actually ask the design agency for their thought process. After a cursory introduction to the design, most client launch into their opinion on the design which is usually a knee jerk reaction.

A question and answer session with the agency about their thinking, why the layout has been designed that way and what the approach is to the entire website.

Sometimes clients are surprised at the thought process designers have put into the design which they did not grasp immediately. E.g. A common example is the correlation between the design elements and the company logo or monogram.

Don't involve too many people in the design approval process
As the saying goes, 'Too many cooks spoil the broth'. This is especially true for design approvals. We have sat in meetings where opinions were solicited from everyone including those completely outside the management or marketing roles. The result was a smorgasbord of feedback which decimated the designs and we ended up with something very ordinary.

We recommend that the design evaluation team be kept to a maximum of 3 people. Just enough to encourage healthy discussion but not so many that the whole issue becomes confused.

Look at the design as a whole as well as its separate elements.
The first thing you look for and is the easiest to judge is how does the design look as a whole. As a client, you need to be at least 60-70% satisfied with how the design overall looks. Don't shoot for 100% otherwise it will go into perfectionist territory and endless loops.

Don't throw the baby out with the bath water, as the saying goes. Don't get stuck on only one aspect e.g. colours or font. Instead view the design holistically. You might not like any one aspect of the design presented to you, whether its color or font or anything else. But try and look past that and evaluate the design holistically. Does it tick the boxes in other aspects such as navigation, layouting etc.

They all have really weird names (many of which were probably dreamed up in a haze of smoke) and some out-of-the-box sales pitch which they feel shows their unique thinking. So what are the factors that should actually matter when picking an digital marketing agency. Here are a few to consider:

1. Longevity - Avoid here today, gone tomorrow, operators
This industry is notorious for companies starting one day and disappearing the very next. We have been in business for over 14 years and have seen countless upstarts come and go. Some have even lured a few of our clients away with impossible promises, only to disappear into smoke later.

It might sound clichéd and old fashioned but companies that have survived for years in this tough market are here to stay and have something unique in them that's allowed them to weather the storms. Longevity is usually a good indicator of whether they will be here the next year and onwards.

There are usually two types of digital agencies to avoid. The first we can call 'fishers'. They quote ridiculously high prices and wait for the big fish to reel in. They thrive on clients who either don't know better or don't care. The second is the 'do anything to get business' types who will quote so low that it will be impossible to service the client over the long term. They will cut corners or eventually leave the client in a lurch.

The best cost I feel is the one that pinches the client a little but is also not so high to make it a major pain for the client to justify within the company.

The idea is that the more the website is used in the day to day activities the more likely are the employees to reach for it when they need information.

Now some might argue that there is no reason to use the site in their business but that is just a lack of imagination. Like customers, employees must also be enticed onto the site till it becomes a habit for them.

4. Using the website as an important part of the training programme for new employees.
Putting a part of the training programme online and asking employees to use it for learning can become a great introduction of the website to them and also conveys to new hires, the importance of the website in the overall business scheme.
